Easy Steps to Add YouTube Videos on VIDYAOne School Website
Videos are one of the best ways to showcase your school activities, achievements, campus environment, and educational content. A well-managed video gallery helps parents, students, and visitors understand your school better through visual content.
Using the VIDYAOne School Website Admin Panel, you can easily add YouTube videos to your school website without technical knowledge.
In this guide, you will learn how to add new YouTube videos, manage video categories, update video details, preview videos, and publish them on your school website.

Open the Video Gallery Page
To manage videos on your website:
Login to your VIDYAOne School Website Admin Panel.
From the left-side menu, go to:
Gallery → Video Gallery
The Video Gallery page will open.
Here you can View uploaded videos category-wise, Add new videos, Edit existing videos, Remove videos, Create categories, Organize videos properly
Understanding Video Categories
At the top of the page, you will see category tabs such as: Events, Introduction, Campus Life
These categories help organize videos into different sections.
For example:
Introduction category can contain school overview videos
Events category can contain annual function videos
Campus Life can contain classroom and activity videos
How to Add a New Category
If you want to create a new video section:
Click the + New Category button.
Enter the category name.
Save the category.
Example categories: Annual Function, Sports Day, School Tour, Student Activities
The new category will now appear in the category tabs.
How to Rename a Category
To edit the category name:
Double-click on the category tab.
Update the category name.
Save the changes.
Example: “Events” can be renamed to “Annual Events”
This helps keep the video gallery organized.
How to Remove a Category
If a category is no longer needed:
Select the category.
Click the Remove button.
Confirm the action.
Important: Removing a category may also remove all videos inside that category.
How to Add a New Video
To upload a new video:
Select the required category.
Click the + New Video button.
A new video form will open where you can add video information.
Copy YouTube Video Link
VIDYAOne Video Gallery supports only YouTube videos. Before adding the video:
Open YouTube.
Open the video you want to display on the website.
Click the Share button below the video.
Copy the YouTube video URL.
Example: https://youtu.be/S1yK4Njz5SI?si=5eeLp3W5ZEbyOZu1
Now return to the Video Gallery page.
Paste the YouTube Video Link
In the YouTube Video Link field Paste the copied YouTube video URL.
The Video Caption field is used as the video title.

Use clear and meaningful titles so visitors can understand the video content easily.
Add Video Description
The Video Description field allows you to explain the video content.
Example: Introducing our experienced teaching faculty and modern classroom environment that supports student learning and development.
A good description helps visitors understand the video, improve website presentation, and improve SEO performance. Keep the description simple and informative.
Add Tags for Videos
You can also add tags related to the video.Example tags:
faculty
teachers
introduction
sports
annual function
campus life
Tags help organize videos properly and improve search visibility.
To add tags:
Click + New Tag
Enter the tag name
You can add multiple tags for one video.
Set Display Order & Upload date
The Display Order field controls video arrangement in the gallery.
Example:
1 = First video
2 = Second video
3 = Third video
This helps display important videos at the top. Select the upload date for proper video management and record keeping.
Preview the Video Before Publishing
Before publishing the video, Click the Video Preview button.
This allows you to:
Check the video
Confirm the YouTube link
Verify playback
Review the thumbnail
Always preview the video before saving to avoid incorrect links.
Save & Publish the Video on Website
After filling all details, Click the Save button. The system will save the video successfully.Saving the video only updates the admin panel. To show the video on the live website, Click the Publish button from the top-right corner. After publishing:
Visitors will be able to watch the video on your school website.
The video will appear in the selected category.
Important: If you do not click Publish, the video may not appear on the live website.
How to Edit Existing Videos
To update an existing video:
Open the Video Gallery page.
Select the category.
Click the Edit button.
Update:
Video link
Caption
Description
Tags
Click Save
Click Publish
The updated video details will now appear on the website.
How to Remove a Video
To delete a video:
Open the video category.
Click the Remove Video button.
Save the changes.
Publish the website.
The video will be removed from the gallery.
Common Mistakes to Avoid
Using Non-YouTube Links: Only YouTube video URLs are supported.
Forgetting to Publish : Always click: Save → Publish
Adding Incorrect Video Links : Preview the video before publishing.
Using Unclear Titles : Use meaningful video captions for better understanding.
