The Download webpage in the VIDYAOne School Website helps schools share important documents with parents, students, and visitors directly through the website. Instead of sending files manually again and again, schools can upload downloadable resources online so users can access them anytime.
Using this section, schools can manage:
Admission forms
School prospectus PDFs
Academic calendars
Circulars and notices
Holiday homework
Event brochures
Other downloadable resources
The system is designed in a simple way so even non-technical users can easily upload, update, and manage files from the admin panel
To manage downloadable files, first login to the VIDYAOne School Website Admin Panel. From the left sidebar menu, open the Downloads section and click on Download.
The Download page will open where all downloadable resources are managed. Here you can view existing files, upload new documents, edit old content, and rearrange the order of downloads.
To start making changes, click on the Edit button available at the top-right corner of the page.
Once edit mode is enabled, the page becomes editable and you can start updating the content.
The first section is the Download Page Content area. Here you can add the heading, description, and upload date for the downloadable resource.
The heading should clearly explain what the file is about. For example, schools can use titles like “School Prospectus 2026”, “Admission Form”, or “Annual Academic Calendar”.
Below the heading, you can add a short description explaining the document. This helps parents and students understand the file before downloading it.
Example: Download the latest school prospectus containing admission details, curriculum information, school facilities, and academic structure.
Adding proper descriptions makes the download section more informative and professional.
The download page also allows you to upload a preview image along with the file. This image appears beside the downloadable content on the website and helps users identify the document visually.
Schools commonly upload:
Prospectus cover images
Brochure previews
Notice banners
PDF preview images
To upload the image, click on the Upload Image section and choose the image from your computer.
The system supports image formats such as JPG, JPEG, PNG, GIF, WEBP, and BMP.
For better website performance, it is recommended to use:
Image size below 1 MB
Resolution around 600 × 400 pixels
Large images may slow down the website, especially on mobile devices.
After uploading the image, you can also add:
Image Caption
Image Description (Alt Text)
The caption works as the image title, while the alt text helps improve SEO and accessibility.
There is also an Allow Image Download option. When enabled, visitors can directly download the uploaded image from the website.
The Download Page File section is used for uploading the actual downloadable document.
Schools can upload files such as PDF documents, DOC files, forms, brochures, and notices. To upload the file, click on the Upload File button and select the document from your computer.
After uploading the file, enter a proper file name or caption. This title will appear on the website.
Good examples include:
Download Admission Form
School Prospectus PDF
Annual Examination Schedule
Avoid using unclear names like “file1.pdf” or “document-final.doc” because users may not understand the file content.
Next to the uploaded file, you will see the Allow Download option. Enable this option if you want visitors to download the document directly from the website.
Schools often need to upload multiple downloadable resources on the same page. To add another section, simply click on the + New Downloads button.
A new download card will appear where you can upload another document or brochure. This is useful for managing different types of files separately.
The system also allows schools to rearrange download cards using drag-and-drop functionality. Important files can be moved to the top so visitors can easily find them.
For example, schools may place:
Admission forms first
Prospectus second
Academic calendar below
This keeps the page clean and organized.
If you need to update an old file or replace an existing document, open the Download page and click on the Edit button.
From here, you can:
Replace old PDFs
Upload updated forms
Change brochure images
Update headings and descriptions
After making changes, click on Save.
This feature is especially useful when schools release:
New admission forms
Updated prospectus files
Revised academic calendars
New circulars or notices
Regular updates help keep the website accurate and useful for parents and students.
Old or outdated files can also be removed easily.
To delete a download:
Open the Download section.
Click on the Remove button available on the download card.
Save the changes.
Publish the website.
The selected file will no longer appear on the live website.
Removing unnecessary files regularly helps maintain a clean and professional download section.
After uploading or updating files, click on the Save button to store the changes in the admin panel.
Before making the content live, schools can use the Preview button to check:
File layout
Images
Download buttons
Descriptions
Overall page appearance
Once everything looks correct, click on the Publish button from the top-right corner.
This step is important because saved changes will not appear on the live website until they are published.
