New Entry (Student Module)

Overview

The New Entry feature streamlines the process of enrolling a student into the school database. Follow these professional, step-by-step instructions to ensure accurate and complete admission records.


Prerequisites

Before you begin, make sure you have configured the following in Admin Module → Activation:

  • Current Session

  • Shift

  • Class

  • Stream (for higher Class)

  • Section (if you plan to assign sections during admission)

  1. Step-by-Step Admission Process

    1. Navigate to: Student Module → New Entry


2. Enter Student Details    

  1. Student Name, Father’s Name, Mobile No., Mailing & Permanent Address (all marked with an asterisk  *  are mandatory)
  2. BPL Number (only for Bihar Board schools)
  3. WhatsApp Number (clickable link to open WhatsApp Web)
Upload Photograph
  1. Click Browse Photo
  2. File type: .jpg or .jpeg
  3. Maximum size: 50 KB
  1. Enter Sr. No. manually, if required.
  2. Select ☑ TC if you have collected the Transfer Certificate
  3. Select ☑ Birth Cert. if you have collected the Birth Certificate
  4. Ledger Number – if enabled in Admin Module → Software Settings
  5. Shift, Class, and Stream  (if applicable) 
  6. Set Section – Make sure sections for the chosen class are activated in Admin Module → Activation
  7. Set Fee – Ensure the fee structure is configured in Admin Module → Class Fee Structure
  8. A/C Detail – to record bank or parent account information
  9. In Hindi – to capture details in Hindi script
  10. Click Save
  11. A confirmation message will appear—click OK to complete the admission
  • If you have selected ☑ In Hindi checkbox following window will open.
  • Fill the details in their respective fields and click on the  Save  button.
  • If you have selected ☑ A/C Detail checkbox following window will open.
  • Fill the Account details in their respective fields and click on  Save  button.
  • If you have Selected ☑ Set Section checkbox following window will open.
  • Select the section of student and click on  Save  button.

       

  1. If you have selected ☑ Set Fee checkbox following window will open.
  2. Set the fees of student then click on  Save  button.


  1. After doing all the settings following message will be displayed.
            
  • Click on OK button your student record will be saved.


Troubleshooting & Common Errors

       

Solutions: - Go to Admin Module Activation and activate the required Session, Shift, Class, Stream, and Section.



      

Solutions: - Ensure all mandatory fields (Name, Father’s Name, Mobile No., Mailing & Permanent Address) are completed.
